Draft — review with legal counsel before launch

This is a reasonable starting document for a software-as-a-service business. It has not been reviewed by a lawyer, it is not legal advice, and it must be checked against the laws that apply to Valoria Ventures LLC before it is published as binding.

Privacy Policy

How Valoria Ventures LLC collects, uses, shares and protects personal information when you use Service Leopard.

Effective date:

1. Scope

This policy explains how Valoria Ventures LLC dba Service Leopard (“Service Leopard”, “we”, “us”) handles personal information across our website and the Service Leopard platform (together, the “Platform”).

We handle personal information in two different roles, and it matters which one applies:

  • As a controller — for information about our own customers and website visitors: the business owners and staff who sign up, browse our site and contact us.
  • As a processor — for information our customers put into the Platform about their own end customers. We process that data on our customer’s instructions. If you are the end customer of a business that uses Service Leopard, please contact that business about your data; we will support them in responding to you.

2. Information we collect

Information you give us

  • Account and profile details such as name, business name, email address and phone number.
  • Billing details. Card numbers are collected and stored by our payment processor, not by us.
  • Content you put into the Platform: customer records, estimates, jobs, invoices, notes, photos and messages.
  • Anything you send us in support requests or other correspondence.

Information we collect automatically

  • Device and connection data such as IP address, browser type and operating system.
  • Usage data such as pages viewed, features used and timestamps.
  • Cookies and similar technologies, as described in section 7.

Information from third parties

  • Our payment processor may share limited transaction and payout status information with us.
  • If you connect a third-party integration, we receive the data that integration is configured to share.

3. How we use information

  • To provide, operate, secure and support the Platform.
  • To process subscriptions, payments and payouts.
  • To communicate with you about your account, changes to the service and support requests.
  • To improve and develop the Platform, including troubleshooting and analytics.
  • To send marketing communications where permitted, with an opt-out in every message.
  • To detect and prevent fraud, abuse and security incidents.
  • To comply with legal obligations and enforce our agreements.

[PLACEHOLDER: IF GDPR OR UK GDPR APPLIES, CONFIRM THE LAWFUL BASIS FOR EACH PURPOSE ABOVE WITH COUNSEL — TYPICALLY CONTRACT, LEGITIMATE INTERESTS, CONSENT OR LEGAL OBLIGATION.]

4. How we share information

We do not sell personal information. We share it only as follows:

  • Service providers who help us run the Platform — hosting, payment processing, communications, analytics and customer support tools — under contracts that limit their use of the data.
  • Between a business and its customers, as the Platform is designed to do — for example, sending an estimate or invoice to a customer on our customer’s behalf.
  • For legal reasons, where we believe disclosure is required by law or needed to protect rights, safety or the integrity of the Platform.
  • In a business transaction, such as a merger, acquisition or sale of assets, subject to this policy continuing to apply.

[PLACEHOLDER: LIST YOUR ACTUAL SUB-PROCESSORS HERE — HOSTING PROVIDER, PAYMENT PROCESSOR, EMAIL/SMS PROVIDER, ANALYTICS PROVIDER, SUPPORT TOOL — BEFORE LAUNCH.]

5. Retention

We keep personal information for as long as we need it for the purposes above, and then for the period required to meet legal, accounting and dispute-resolution obligations. When you close your account, we make your data available for export for 30 days, after which it may be deleted or anonymised. Backups are deleted on a rolling schedule.

6. Security

We use technical and organisational measures appropriate to the risk — including encryption in transit, access controls and least-privilege administrative access — to protect personal information. No system is perfectly secure, and we cannot guarantee absolute security. If a breach affects your data, we will notify you as required by law.

7. Cookies and similar technologies

We use cookies that are strictly necessary to operate the site and keep you signed in, and we may use analytics cookies to understand how the site is used. You can control cookies through your browser settings; blocking necessary cookies may break parts of the Platform.

[PLACEHOLDER: IF YOU ADD ANALYTICS OR ADVERTISING COOKIES, LIST THEM AND CONFIRM WHETHER A CONSENT BANNER IS REQUIRED IN THE REGIONS YOU SERVE.]

8. Your rights

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information; to object to or restrict certain processing; to withdraw consent; and to opt out of marketing. We will not discriminate against you for exercising these rights.

To make a request, email [LEGAL / PRIVACY EMAIL]. We may need to verify your identity before we act. If a business that uses Service Leopard holds your data, we will refer your request to them as the controller.

[PLACEHOLDER: CONFIRM WITH COUNSEL WHICH REGIMES APPLY — FOR EXAMPLE CCPA/CPRA, GDPR, UK GDPR, PIPEDA — AND ADD THE REGION-SPECIFIC DISCLOSURES AND APPEAL RIGHTS THEY REQUIRE.]

9. International transfers

We may process and store information in countries other than your own, including the USA. Where required, we put appropriate safeguards in place for those transfers.

10. Children

The Platform is a business tool and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.

11. Changes to this policy

We may update this policy. If a change is material, we will give reasonable notice before it takes effect. The effective date at the top of this page always reflects the current version.
